# Privacy Policy

Last updated: September 19, 2026
Effective: September 19, 2026

Helixfield is a professional practice. We use the information you give us — and the task information an assistant sends when you connect Helixfield — to reply, to deliver work, and to operate that connection. We do not sell personal information. We do not use your content to train public AI models.

Last updated September 19, 2026. Deletion and access requests: helixfieldai@gmail.com. Meta Muse and other assistants have their own policies; this page governs Helixfield’s use of information it receives.

## Who we are

This policy is issued by Helixfield LLC (“Helixfield,” “we,” “us”). We are an applied-AI practice for mid-size companies. The practice office is Northbrook, Illinois 60062, United States. Public contact is [helixfieldai@gmail.com](mailto:helixfieldai@gmail.com) only.

How we organize client work today is called Loop & Graph: a repeating job, a shared list of facts, and a named person who accepts important facts and outbound messages. That method may change. This policy is about information, not about a forever method.

This page is Helixfield’s public notice of how we handle information. It is written so a buyer, a user, or a platform reviewer can read it. It is not legal advice and is not a substitute for an attorney’s review.

## What this policy covers

This policy applies when Helixfield processes personal information in connection with:

- The public website at https://www.helixfield.com and its pages, including briefing forms.
- Email and other messages you send to helixfieldai@gmail.com.
- Professional engagements — a Field Survey, a setup, teaching, or a retainer — after both sides accept a written scope and fee.
- Helixfield’s connector for Meta Muse and similar AI-assistant connectors: when you (or your organization) connect Helixfield through Muse or a comparable assistant, that assistant may send Helixfield information needed to carry out the task you asked for.

It does not replace a statement of work. Client systems, credentials, and work product stay in the environment agreed in the engagement unless that writing says otherwise.

Meta, Muse, Stripe, model vendors, and other third parties have their own terms and privacy policies. Those documents govern how those parties handle information they collect. This policy governs Helixfield’s processing of information Helixfield receives.

## Information we collect

We collect only what we need to reply, to do the work, to operate a connector, or to meet a legal duty. Categories include:

- Account and contact information. Name, company, email address, and any role or phone number you choose to send. The public briefing form asks for name, company, email, a description of the repeating work, and an optional AI-tool preference.
- Briefing and intake content. The job you describe, tools you already pay for, owners you name, and later survey or kickoff notes.
- Engagement files. Facts, drafts, runbooks, permission lists, and correspondence created during a paid engagement.
- Connector task payloads. When you connect Helixfield through Meta Muse or a similar assistant, we may receive the task, the instructions you gave the assistant, files or snippets the assistant attaches, identifiers for your Muse or assistant account, and the minimum technical data needed to return a result. We do not ask the assistant for information that is not relevant to the task.
- Technical and security logs. Standard server logs from hosting — such as IP address, date and time, browser or user-agent, and the page requested — used to run and protect the site. Production briefing submissions are also recorded so we can see that a form arrived.
- Payment-related information. This website does not take card payments and does not embed a checkout form. If you pay Helixfield through an accepted statement of work, or through Muse or another assistant platform that uses Stripe Link or a similar processor, we may receive your name, email, company, what was purchased, amount, currency, and payment status. Card numbers and bank details are handled by the payment processor, not stored by Helixfield.

We do not collect government ID numbers, biometric identifiers, or precise geolocation on the public site. Do not send passwords, payment-card numbers, or health records in the briefing form.

## Cookies and similar technologies

The public Helixfield website does not use advertising cookies, analytics pixels, or session-replay tools. We have not installed Google Analytics, Meta Pixel, or similar trackers.

Hosting and the web framework may set a strictly necessary cookie, or keep a short server log, so the site can load and stay secure. Fonts are served with the site. We do not use those logs to build advertising profiles.

Because we do not use advertising or analytics cookies, we do not show a cookie-consent banner. If we later add a non-essential tracker, we will update this policy and, where the law requires it, ask before we set it.

## Where the information comes from

- You. Forms, email, files you attach, and authorizations you grant when you connect Helixfield in an assistant.
- Meta Muse or a comparable assistant. When a connection is on, Muse (or the similar assistant) may send Helixfield task-relevant information so we can fulfill the request. That exchange is controlled by your settings in the assistant and by that assistant’s own policy.
- Your organization. Colleagues, systems, and vendors you ask us to work with during an engagement.
- Vendors who process for us. Hosting delivery status, email delivery status, and payment status.
- Information you point us to. Public business pages or systems you authorize for a survey or setup.

## How we use information

We use personal information to:

- Respond to briefings and say whether a Field Survey is the right next step — or that it is not.
- Prepare drafts for a named Helixfield person to review. Software may draft. A named person accepts material facts and outbound messages.
- Deliver professional services under an accepted statement of work.
- Operate the Helixfield Muse connector and similar connectors: receive the task, do the work you asked for, return a result, and keep the connection reliable.
- Protect the site, the practice, and our users against abuse, spam, and security incidents.
- Keep ordinary business, tax, and legal records, and respond to lawful requests.

We do not use briefing text, engagement files, or connector task content to train public or generally available AI models. We do not use that content as marketing examples.

## How we share information

Helixfield LLC does not sell personal information. We do not share it for cross-context behavioral advertising. We have no “Do Not Sell or Share” toggle because we do not do those things.

We share information only with:

- Processors who help us run the practice. Website hosting (currently Vercel), transactional email (currently Resend, with mail delivered to Gmail at helixfieldai@gmail.com), and — when a payment is made — a payment processor such as Stripe, including Stripe Link if Muse or another platform uses it.
- Model and software vendors. During an engagement, seats and API accounts are typically owned by the client. When Helixfield must call a model or a tool to fulfill a connector request or to draft internal work, that vendor processes the minimum content needed for the request under that vendor’s terms. Helixfield does not grant those vendors a right to train public models on Helixfield client or connector content.
- Professional advisers (for example an accountant or lawyer) when needed to run the business.
- Authorities when the law requires it, or to protect rights, safety, or security.
- A successor if Helixfield is involved in a merger or transfer of the practice, with notice on this page if that happens.

We do not reuse one company’s graph, transcripts, or connector content as another company’s memory. We do not publish client names, case studies, or testimonials that we have invented.

## Helixfield’s Muse connector and similar assistants

Meta’s Muse product can exchange task-relevant information with a connector you choose. Helixfield’s connector — and any similar assistant connector we operate — is one of those choices. Connecting it is optional.

When the connection is on, Muse (or the similar assistant) may send Helixfield the information needed to do the task. Helixfield processes that information to fulfill the request, to keep the connection working, and to protect against abuse. Helixfield does not use it to train public models and does not sell it.

You should only send information you have the right to send. Do not use the connector to ask Helixfield to access systems you do not control, or to send someone else’s personal information without a proper basis.

Meta, Muse, and other assistants are not Helixfield. Their collection and use of information is described in their own policies. This policy applies to information after Helixfield receives it. To stop new task data from reaching Helixfield, disconnect the connector in the assistant. To ask Helixfield to delete what it already holds, write [helixfieldai@gmail.com](mailto:helixfieldai@gmail.com).

## How long we keep information

We keep information only as long as we have a reason to:

- Website and security logs — a short period needed to run and protect the site.
- Briefing inquiries and internal drafts — long enough to reply and to keep an ordinary business record of what was asked and what we said.
- Engagement files — for the engagement, then for tax, contract, and professional records as the law or the statement of work requires.
- Connector task payloads — long enough to fulfill the request, operate the connection, and investigate abuse or errors; then we delete or reduce them.
- Payment records — as accounting and tax rules require.
- Deletion-request records — a minimal note that a request was made and completed.

On Vercel, a briefing that never reaches email may exist only in short-lived function logs. Once email is delivered, the Gmail thread is the durable copy we use. Local development copies are not a production store.

## Security

We limit access to people who need the information for the work. Client credentials and graphs stay in the environment agreed in the engagement. We use commercial hosting and email providers. No method of transmission or storage is perfectly secure. We do not claim a certification we have not earned.

## Your rights, including deletion

You may ask Helixfield to access, correct, or delete personal information it holds about you. Write [helixfieldai@gmail.com](mailto:helixfieldai@gmail.com). Say what you want — a briefing, an engagement file, or information tied to a Muse or other assistant connector — and the email address you used.

This path is available to anyone who can use the website, send a briefing, or connect Helixfield through an assistant. You do not need to be a paid client.

For connector-linked data we will:

- Confirm we received the request.
- Delete or de-identify personal information from connector task payloads that Helixfield controls, except where we must keep a record for law, security, accounting, or dispute resolution.
- Tell you if we cannot delete something and why.

Disconnecting the connector in Muse (or the similar assistant) stops new exchanges. It is not the same as a deletion request. Copies held by Meta, Muse, Stripe, or a model vendor follow those parties’ policies; we cannot delete what we do not control.

We will complete requests as soon as we reasonably can, and no later than the time applicable US state privacy laws allow (often 45 days, with a permitted extension if the request is complex). We may need to verify that the request comes from the right person. We will not charge a fee for an ordinary request.

## Children

Helixfield’s website, services, and connectors are for businesses and working adults. They are not directed to children under 13, and we do not knowingly collect personal information from anyone under 16. If you believe a child has sent us information, write helixfieldai@gmail.com and we will delete it.

## United States, Illinois, and California notices

Helixfield is based in Illinois and serves clients in the United States. Information is processed in the United States. If you contact us from another country, you understand that your information is handled here.

Illinois. If we discover a breach of computerized data that includes personal information as Illinois law defines it, we will notify affected people as that law requires.

California. If you are a California resident, you may request to know, correct, or delete personal information, and you may not be discriminated against for exercising those rights. Helixfield does not sell personal information and does not share it for cross-context behavioral advertising. Categories we may collect are listed above (contact, briefing and engagement content, connector payloads, technical logs, and payment status). We collect them for the purposes listed above. We do not use sensitive personal information to infer characteristics about you. To exercise rights, write helixfieldai@gmail.com. An authorized agent may write on your behalf if they can show authority.

Other US state privacy laws. Residents of states with similar consumer privacy statutes may make the same access, correction, and deletion requests at the same address. We will honor them in good faith.

## Changes

We may update this policy when our practices or the law change. The “Last updated” date at the top of this page will change. The current policy lives at https://www.helixfield.com/privacy. Material changes will be posted here before they take effect when we reasonably can. Continued use of the website, a briefing, an engagement, or a connector after the new date means the updated policy applies to later processing.
